The data we collect

• Order data: name, email, phone number, delivery and billing address, items purchased.
• Payment data: processed directly by Stripe or PayPal — we never store your full card details.
• Communications: messages you send us through the contact form.
• Newsletter: email address, preferred language and where you signed up.
• Technical data: IP address, approximate country, browser and pages visited (non-essential analytics only with your consent).

How we use it and our lawful bases

• Contract: to process and deliver your orders and handle returns.
• Legal obligation: to keep accounting and tax records.
• Legitimate interests: to prevent fraud, improve our website and respond to enquiries.
• Consent: for our email newsletter and for analytics or marketing cookies. You may withdraw consent at any time.

Who we share it with

Only with service providers acting as our processors: our print-on-demand partner (BookVault) to print and dispatch your books, delivery carriers, payment providers (Stripe, PayPal), our hosting and email platform and, if you subscribe, our newsletter provider. We never sell your data.

International transfers

Some providers may process data outside the UK (for example in the EU or US). Where they do, we ensure appropriate safeguards are in place, such as UK adequacy regulations or the ICO’s International Data Transfer Agreement / Addendum.

How long we keep it

Order records are kept for six years for tax purposes. Contact messages are kept for up to 24 months. Newsletter data is kept until you unsubscribe.

Your rights

You have the right to access, rectify or erase your data, to restrict or object to processing, to data portability and to withdraw consent. Email hello@northwindpress.com and we will respond within one month. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk.

We use HTTPS encryption, access controls and reputable, certified providers.
